What a live printing event costs
We quote per event, but we won't hide the anchors. These are the numbers every quote is built from — so you can sanity-check your budget before you even talk to us.
Staffed station
from ~$5,000
A typical local event: equipment, crew, blanks for your guest count, artwork prep, setup, and teardown. Larger guest lists and premium garments move it up from there.
Local = Orange County, Los Angeles, San Diego.
Staffing
$250/hr
Covers the crew across your full window — including the setup hour before doors and teardown after. A four-hour party is billed as roughly six staffed hours, and we tell you that up front.
Longer events staff additional operators, not slower lines.
Travel
$0 – $900
No travel charge inside Orange County, LA, or San Diego. Outside that — Las Vegas, Phoenix, or across the country — a flat $900 covers the road crew, with freight quoted for big builds.
Nationwide dates need 3–4 weeks of lead time.
What actually moves the number
Four inputs drive nearly every live printing quote. Guest count sets the blank order and how many presses we bring — 150 guests run comfortably on one station, 600 need two or three. Event hours set staffing. Product choice matters more than people expect: a Bella+Canvas 3001 tee, a Richardson 112 hat with a leather patch, and an embroidered robe are very different unit costs. And artwork count affects prep — a tight menu of four designs prints faster and cheaper than twenty options nobody can choose between.
A useful budgeting shortcut: most corporate events land between $25 and $40 per guest all-in, which is usually at or below what the same company spent last year on pre-printed swag that ended up in a drawer.
When you compare quotes, check that each one includes operators, blanks, artwork prep, setup, and teardown. A low quote that's "equipment only" leaves you staffing a heat press with volunteers — that's how event printing horror stories start.
